Accounting Coordinator
Overview:
To be able to assist the refilling plants and the show room branches of all accounting operations as required.
Responsibilities:
- Ensures that all expenses and purchases of the refilling plant assigned is properly recorded and encoded
- Ensures that based from the expenses and procurement made, a summary of this report should be made.
- Ensures proper encoding of Monthly Alpha List Data Entry (SWAT) and filing to the concerned agency.
- Ensure that a copy of 2307 is attached to the summary list of purchases.
- Prepares monthly withholding taxes-compensation 1601C and files the same to the agency.
- Prepares monthly withholding taxes-expanded 1601E and files the same to the agency.
- Ensures that Quarterly Relief Data Entries are encoded and filed.
- Ensures that monthly sales of the refilling plant is encoded and recorded.
- Prepares Monthly VAT 2550M and Quarterly 2550Q and filed.
- Ensures that all Sales and Purchases are recorded to Books of Accounts.
- Ensures that all invoices are well kept and stored.
- Attends to the documentation and processing of permits and licensing of all showrooms of the branch assigned. As well as attends to the renewal of the same.
- Attends to the registration of documents of new business offices and location as well as renewal of these documents and permits.
- Ensures that all payment for Annual Registration Fee 0605 is paid.
- Prepares Annual Alpha List – Compensation 1604CF and certificate of Compensation 2316
- Prepares Annual Payment – Expanded 1604E
- Ensures that Books of Accounts are properly stamped.
- Ensures that all documents needed for audit are all in proper places and all in proper order.
Compliance Coordinator

Plant Supervisor
Overview:
Responsible to support the plant manager in providing need of company, supervision of plant operation in LPG and products, as many be necessary, including bulk receipt, bottle filling and dispatching.
Scope:
The Plant Supervisor reports to the General Manager and responsible for segregation of duties by performing order taking, receipting and daily checking of cylinders.
Responsibilities:
- Supervision of LPG trucks receipt to meet company’s operational requirements.
- Supervision of LPG bottling to meet company’s operation and government regulatory requirements.
- Supervision of LPG’s filling into customer’s cylinders to meet company’s operational and regulatory requirements.
- Reconcile bulk products movement by the daily meter reconciliation.
- Proper LPG gauging for stock accounting purposes.
- Custodian of LPG stock item and empty cylinders.
- Follow up for proper customs documentation for LPG receipts and loadings.
- Checking the pipes, valves, gas pump, gas compressor, machines and Gas storage before and after the operation.
- Other key competencies will include positive relationship building, customer friendliness, flexibility and effective communication and teamwork.
- Ensure that cylinders must be inspected based form good empty cylinders and rejected.
- Ensure that re-classification of the cylinders at the staging area must be re-classified according to its qualifications as: REPAINTING, REPAIR / RE-QUALIFICATION and SCRAP.
- Ensure that LPG Plant’s Work Instruction must be followed.
- Ensure that visual inspection of incoming cylinders is conducted before loading manual filling at the start of the filling activity.
- Ensure that non-conforming filled cylinders should be accounted first prior to transporting to the decanting area.
- Conduct operations in a manner that promotes safety.
- Checking the GPS of trucks to track their destination.
- Performs other related duties are required.
Refiller
Overview:
Responsible for unloading the cylinders and classified the good and reject cylinder.
Scope:
The Refiller reports to the supervisor and is responsible for helping the supervisor to check the cylinders and maintaining the weight of each cylinders.
Guidelines:
- Unloading of empty good cylinders to filling hall/platform. Two qualification of cylinder will be followed
- Ensure that the cylinder cleaning/ washing must be observed.
- Ensure that the assistance to the driver/helper must be observed when loading/unloading of cylinders to/from the truck.
- Ensure that the manual filling of cylinders for 2.7kg. 5.0kg, 11kg, 22kg. And 50kg. Cylinders.
- Ensure that the manual leak testing of filled cylinders conforms in accordance with the Plant’s work Instruction.
- Ensure that manual sealing of filled cylinders.
- Ensuring the right weight of the cylinders.
- Performs other related duties as required.
Helper
Overview:
Provide assistance to the driver for fast mobility of cylinders for delivery.
Scope:
The Helper reports directly to the driver. Responsible for the segregation and arrangement of cylinder for each customer. Ensures that all tanks are well sealed prior to transfer.
Guidelines:
- Assists delivery driver to load and unload LPG cylinder to and from specified destinations such as dealer, outlet, refilling plants and showroom.
- Ensure that trucks are well kept by cleaning and washing the body every day at the end of the operations.
Driver
Overview:
Responsible for delivery or to supply products to the customers and collecting of money.
Scope:
The driver reports to the Secretary for issuance of receipts before delivering the products. They will get the empty cylinders to refill and they will remit the money that they collected from the customers.
Guidelines:
- Drive vehicles to transport LPG cylinders to and from specified destination such as dealer, outlet, refilling plant and showroom.
- Transport goods over land to and from refilling plants or retail and distribution centers.
- Inspect vehicles for mechanical items and safety issues and perform preventative maintenance.
- Plan routes and meet delivery schedules.
- Documents and log work/rest periods and kilometers spent driving and fuel/toll receipts.
- Comply with truck driving rules and regulations (size, weight, route designation, parking and break periods) as well as with company policies and procedures.
- Maneuver truck into loading or unloading position.
- Collect and verify delivery instructions.
- Report defects, accidents or violations.
- Performs other related duties as required.
Office Secretary
Overview:
Responsible for maintaining day to day collection of money in the form of cash or check and processes transaction to the customers.
Scope:
The secretary personnel report to the Assistant General Manager / General Manager and is responsible for customer transaction and securing money collected.
Guidelines:
- Responsible for taking money in the form of cash, check from patrons or customers, provides change, balance drawer and processes transactions.
- Handle cash transactions with customers.
- Collect payments.
- Issue receipts, refunds or change.
- Make sales referrals, cross-sell products and introduce new ones.
- Resolves customers when entering or leaving establishments.
- Maintain clean and tidy checkout areas.
- Keep reports of transactions.
- Pleasantly deal with customers to ensure satisfaction.
- Checking the GPS of trucks in their destinations.
- Performs other related duties required.
Branch Head
Overview:
Responsible for records keeping of sales/receipts from the customers, secure and update the sales cash and data base.
Scope:
The Branch Head reports to the Area Supervisor and responsible for financial records in the showroom, purchasing of products and helping the supervisors to manage the showrooms.
Guidelines:
- Checking the stocks from opening to closing inventory.
- Calling of follow up the customers if there is price increase.
- Updating the database of customers.
- Balancing the money of showroom
- Secured all sales cash.
- Taking care of the stores equipment and facilities.
- Answering the phone calls of the customers.
Sector Head
Overview:
Responsible for managing the different areas, motivating his/her colleagues, analysing sales and maintaining the productivity of his/her people.
Scope:
The Sector Head reports to the Retail Manager and is responsible for assisting the Area Supervisor to facilitate and to manage their areas and ensure that the sales will not be down.
Guidelines:
- Managing and motivating the team to increase sales and ensure efficiency.
- Managing the showrooms stocks levels and making key decisions about stock control and cylinder qualities.
- Analysing sales figures and setting off targets and forecasting future sales.
- Dealing with staffing issues such as interviewing potential staff and performance review.
- Responding to customer’s complaints and comments.
- Attending retail monthly meeting.
- Touring the sales floor regularly, talking to colleagues and customers and identifying or resolving urgent issues.
- Maintaining awareness of market trends in the retail industry and monitor what local competitors are doing.
- Dealing with sales as and when required.
- Responsible for consolidating sales records and actual vs. POS vs. WEB findings and comparative.
- Responsible in spot checking, filled, cylinders and accessories inventory and store owned/properties.
- Approves cylinders Loan Application after the inspection of the area supervisors.
- Approves cylinder sold for replenishments.
- Reports all raise issues and problems to the immediate superior.
- Performs other related duties as required.
Rider
Overview:
Responsible to deliver the products to the customers and to maintain the customer’s satisfaction in daily basis.
Scope:
The Rider reports to the Secretary and responsible for helping the secretary to find new customer, increasing the sales by route selling and remit the money after the delivering of the products.
Guidelines:
- Drive vehicles to transport LPG cylinder to and from specified destination such as household, commercial account, dealer and outlet.
- Provide superior customer satisfaction by ensuring that all orders are delivered to the correct address.
- Must be able to do route selling.
- Assist in stock handling.
- Observe workplace hygiene and safety and security procedures.
- Systematically distribute flyers in the target market.
- Keep track of all delivery addresses for future reference.
- Be well groom and in full uniform of all times.
- Responsible for the maintenance and upkeep of the motorcycle.
- Be warm and courteous to customers.
- Responsible for running errand tasks for the branch as ordered by the Branch Head.
- To check with the management before leaving for the day.
- Inform the superiors of any customer complaints, dissatisfaction or disagreements with customers, no matter how small the issue may be.
Assistant Branch Head
Overview:
The position will assist the Branch Head by providing quality service to clients through sales and service of products with the expectation of meeting or exceeding branch and individual goals or targets.
Guidelines:
- Generate sales of 25% from the overall showroom target via acquisition of new accounts/clients.
- Maintain good standing relationship and constant sales to the existing accounts/clients
- Demonstrate success in consistently meeting sales target
- Promote or Market the new products and services of showroom
- Ability to alter Branch Head’s responsibilities depending on the need of the showroom
- Ensure that the opening and closing procedures of the showroom (alarms, vaults, balance ATMs, deposits)
- Be able to map the clients on a specific area and create a database that contains information on Name, Address and Cylinder information etc.
- Handle cash transactions with customers
- Collects payments
- Issue receipts, refunds or change
Safety Officer
Duties and Responsibilities:
- Support the development of OHS policies and programs
- Advise and instruct on various safety-related topics (noise levels, use of machinery etc.)
- Conduct risk assessment and enforce preventative measures
- Review existing policies and measures and update according to legislation
- Initiate and organize OHS training of employees and executives
- Inspect premises and the work of personnel to identify issues or non-conformity (e.g. not using protective equipment)
- Oversee installations, maintenance, disposal of substances etc.
- Stop any unsafe acts or processes that seem dangerous or unhealthy
- Record and investigate incidents to determine causes and handle worker’s compensation claims
Plant Checker
Duties and Responsibilities:
- Collaborate with procurement staff to list expected deliveries
- Receive shipments and sign paperwork upon receipt
- Unload packages from incoming trucks
- Inspect contents to ensure they are undamaged
- Verify packages according to order and invoices (quantity, quality, price etc.)
- Contact supplier or shipper if a mistake is identified
- Assume responsibility for returning unsatisfactory shipments or receiving replacements
- Label deliveries and allocate them to their designated place
- Ensure invoices are signed and paid for satisfactory deliveries
- Maintain accurate records and assist in inventory control
Fire Fighter
Duties and Responsibilities:
- Respond to fire alarms quickly to regulate and extinguish forest or building fires
- Operate firefighting and rescuing equipment such as aerial ladders, axes, fire hoses etc.
- Provide emergency medical services with compliance to established standards
- Inspect scenes of fire or accidents to identify causes or discover significant findings
- Clean up fire scenes by removing debris and burned items
- Respond to other emergency situations and assist those in need
- Write accurate reports after incidents and submit them to superiors
- Clean and maintain personal equipment and keep it ready for use
- Participate in fire drills as a way to stay alert and up-to-date with job duties
- Assist in public educational programs to help prevent dangerous fire accidents
Welder
Duties and Responsibilities:
- Read blueprints and drawings and take or read measurements to plan layout and procedures
- Determine the appropriate welding equipment or method based on requirements
- Set up components for welding according to specifications (e.g. cut material with powered saws to match measurements)
- Operate angle grinders to prepare the parts that must be welded
- Align components using callipers, rulers etc. and clamp pieces
- Weld components using manual or semi-automatic welding equipment in various positions (vertical, horizontal or overhead)
- Repair machinery and other components by welding pieces and filling gaps
- Test and inspect welded surfaces and structure to discover flaws
- Maintain equipment in a condition that does not compromise safety
Area Supervisor
Overview:
To assist the Sector Head in leading, directing and motivating the sales team in order to achieve the overall corporate sales objectives and provide a professional and excellent level of customer service to existing and new customers.
Responsibilities:
Sales:
- Monitor and ensures that sales targets of Showrooms are achieved.
- Assist showroom personnel to meet and exceed sales target.
- Contribute to team effort by accomplishing related results as needed
- Plan to ensure achievement of divisional and personal target, aligning with company sales policies and strategies
- Coordinate and work with sales team to market and generate new accounts.
Monitoring:
- Ensures that all company processes, procedures, and standards are properly implemented.
People Management:
- Ensures that all showrooms personnel are well trained and perform follow up training if necessary.
- Supervise, control and motivate showroom personnel achieve monthly sales target.
Reports Generation:
- Generate daily sales report of showrooms.
- Proper coordination with GM and Sector Head regarding sales report
Electrician
Duties and Responsibilities:
- Execute plans of electrical wiring for well-functioning lighting, intercom and other electrical systems
- Install electrical apparatus, fixtures and equipment for alarm and other systems
- Install safety and distribution components (e.g. switches, resistors, circuit-breaker panels etc.)
- Connect wiring in electrical circuits and networks ensuring compatibility of components
- Prepare and assemble conduits and connect wiring through them
- Prevent breakdown of systems by routinely inspecting and replacing old wiring and insulated cables, cleaning circuits etc.
- Perform effective troubleshooting to identify hazards or malfunctions and repair or substitute damaged units
Painter
Duties and Responsibilities:
- Read blueprints/instructions and examine surfaces to determine the kind and amount of work necessary
- Make on-site preparations.
- Prepare walls and other surfaces for painting by scraping, using sandpaper, removing old paint etc.
- Fill cracks and holes with appropriate material (e.g. plaster)
- Mix paint and other materials to prepare the right color or texture
- Paint surfaces according to instructions with various tools
- Apply varnish and other finishes
- Calculate costs and negotiate prices
- Take and adhere to all health and safety precautions
